MOVE-IN & SET UP

Access to the site: 8:00 am Daily.
All Vehicles must be removed from the site by 9 am.
MOVE-IN: REGISTRATION THURSDAY MORNING
Upon arrival, please pull up to the front entrance to register. You will see our banner. Most of you will be able to pull your vehicles up to your booths to unload. AAM staff will direct you to your booth.
The Butternut Ski Resort is located in Great Barrington, Mass - 380 State Rd., Route 23 - 10 minutes from intersection at Rte 7. DIRECTIONS
ACCOMMODATIONS:This is the busiest weekend in the Berkshires. If you haven't yet made your reservations, make them now. . For a list of nearby accommodations, visit our webpage HERE OR www.berkshires.org.
There is free camping for exhibitors on the Butternut site (no showers/no hook-ups.) Bathrooms are located in the lower lodge. Showers are available at the local community center just around the corner in Great Barrington for $5.00/day. Community Center info: www.berkshiresouth.org.
If you plan on camping at Butternut, please sign up for a camping authorization pass at set-up.
ARTISTS IN LARGE TENTS: You are responsible for opening & closing the tent sides each day.
Do NOT Remove Tent Sides. Roll Back Flaps.
ARTISTS IN THE UPPER LODGE: There is carpeting and air-conditioning in the upper lodge.
ARTISTS IN THE LOWER LODGE: The floor is concrete, and the space will remain very cool.
**Please remember to bring shims if you are outdoors or in the tent due to some uneven ground conditions.**
BOOTH SIGNS & BADGES
Each Exhibitor will receive a booth sign and 2 badges. The second badge will read “Artist Assistant.” Make changes HERE.
CELL SERVICE & WIFI
Cellular service varies depending on where you are on the grounds and on your service provider. Verizon works very well over most of the area. Telephones are located in both lodges. Public WiFi is available by the Upper & Lower Lodges.
OUTDOOR BOOTHS: Electricity available for demonstrating artists only.
TENTED BOOTHS: 500 watts electricity included. 500 Watts Max. No Fans allowed.
UPPER & LOWER LODGES: 500 watts electricity included.
An EMT will be on-site in the building adjacent to the ticket booth.
You will receive parking instructions upon arrival.The upper lodge's indoor and outdoor artists can park to the rear of the lodge and up the mountain during the show. Please do not block dumpsters.
All other artists must park in the lot across from the pond. You must place your parking permit in your window.
Do not park upfront in the customer parking lot. The main parking area for exhibitors is by the pond. We will direct you to this area.
There is NO PARKING on the show grounds behind the booths.
Bathrooms, water fountains, and phones are located inside the upper lodge and the lower lodge (also called the clubhouse).
SALES TAX/ MA
Mass Sales Tax is 6.25%. All participating artists should register for sales tax certificates. Registration can take 4 to 6 weeks or longer. In fact MA. makes it very difficult to get through the process. Artists may register online or by mail. REQUEST THE APPLICATION AND IF OR WHEN YOU GET IT JUST SEND IT AND KEEP A COPY FOR YOUR RECORDS AND THAT WILL BE THE END OF IT.. Call 617-887-6367 for an application.
If registering online, and it could be a nightmare, visit https://www.mass.gov/dor/ Under Businesses, follow the link labeled Registered, Filing and Reporting then Help & Resources and click on Starting & Registering a Business. Artists registering online will need form TA-1. If you apply and don’t receive the certificate before the show, do not be concerned - as long as you have completed the application.
Clothing costing under $175 per item is fully exempt from the state sales tax.
24 Hour Security will be provided. The upper lodge will be locked overnight. Please take the usual precautions in securing your booth. Exhibitors are solely responsible for their exhibits, artwork, and personal belongings.

Advertising space in the show guide is available on a first-come, first served basis.
Our 4-color show guide can be a huge marketing asset. The guide will direct potential clients to your booth, your website and help to keep your work in the public eye long after the show is over.
TICKETS & YOUR CLIENTS
Exhibitors may purchase discount tickets for $7.00 each (regular adult admission is $14.00). If you are inviting clients, we strongly suggest you reserve/purchase tickets for them in advance. Tickets for your guests will be held at Will Call at the ticket booth.

You will be receiving an e-card that will give clients $1 Off Adult and Weekend Pass Admission.Expect another email from us with your booth assignment and any further updates.
